Challenge

Lead generation was working. Conversion wasn't. The gap between inquiry and appointment was a structural problem, not a sales one.

The client was successfully generating inbound leads through paid social advertising but lacked the infrastructure to capitalize on them. Follow-up was manual and delayed, appointment booking required staff intervention, and the compounding inefficiency of multiple disconnected SaaS platforms added overhead without solving the core problem. Every hour of delay between lead capture and first contact was a conversion lost.

Goal

Engineer a fully automated, API-native lead-to-appointment pipeline that operates at the speed of intent.

We designed and built a custom automation dashboard integrating the Facebook Ads lead generation API directly with HubSpot CRM, triggering Twilio-powered SMS sequences at the moment of lead capture and routing qualified prospects through a frictionless automated appointment booking flow. Critically, the architecture was built entirely on direct API integrations – eliminating the middleware SaaS layer entirely and replacing recurring platform subscription costs with a lean, purpose-built system.

Result

Lead response time collapsed from hours to seconds. The conversion pipeline now operates continuously without staff involvement.
